Sport-by-Sport Guide: Reaching Coaches for Equipment Sales

Aligning Equipment Sales with Athletic Sourcing Cycles
Every high school sport has its own subculture, budget size, and procurement timeline. Trying to pitch basketball hoops in November or track hurdles in March is a guaranteed recipe for failure.
To maximize equipment sales, you need a highly granular, sport-specific understanding of when decisions are actually made and who holds the checkbook.
1. Fall Sports (Football, Soccer, Volleyball)
- Outreach window: January to March.
- Decision-maker: Head Coach submits recommendations; Athletic Director signs off.
- Procurement focus: Safety reconditioning (helmets, padding), high-volume team apparel, training obstacles, and game balls.
- Marketer tip: Football commands the largest single budget share in most US high schools, but their buying cycle starts immediately after the winter break.
2. Winter Sports (Basketball, Wrestling, Swimming)
- Outreach window: May to July.
- Decision-maker: Varsity Head Coach.
- Procurement focus: Basketball system upgrades, mats, timers, customized team jerseys, and shooting machines.
- Marketer tip: Summer clinics and league tournaments are when winter coaches have the mental space to evaluate and purchase training aids.
3. Spring Sports (Baseball, Softball, Track & Field)
- Outreach window: September to November.
- Decision-maker: Head Coach & AD combined.
- Procurement focus: Pitching machines, safety netting, field markers, hurdles, shot puts, and dugout equipment.
- Marketer tip: Spring coaches often share overlapping facilities. Marketing solutions that solve field conflicts or benefit multiple spring sports at once is a highly effective hook.
Who Controls the Signing Authority?
In secondary education, there are three tiers of purchase authority:
- The Coach's Tier (Up to $1,000): Consumables, training aids, local tournament fees. Usually funded by team booster clubs or local activity accounts.
- The AD's Tier ($1,000 – $10,000): Safety equipment, school-wide apparel contracts, scoreboards. Funded by school-wide athletic budgets.
- The District/Board Tier ($10,000+): Turf installations, stadium lighting, major gym renovations. Requires public bidding and multi-year planning.
